This Cookie Policy explains how Terrain Systems Ltd ("Terrain", "we", "us", "our") uses cookies and similar technologies on our website and within the Terrain Apps and Terrain CAFM services (together, the "Services"). It should be read alongside our Privacy Policy.
By using the Services, you agree to our use of strictly necessary cookies, which do not require consent. Any non-essential cookies are used only where you have given consent (see Managing your cookies below).
1. What are cookies?
Cookies are small text files placed on your device when you visit a website or use a web application. They let the site remember your actions and preferences (such as keeping you signed in) over a period of time. We also use similar technologies such as local storage and session storage, which work in a comparable way; references to "cookies" in this policy include these technologies.
2. Why we use them
- to keep you securely signed in and maintain your session;
- to protect against fraud and secure the Services;
- to remember your preferences and settings within the application; and
- where applicable and with your consent, to understand how the Services are used so we can improve them.
We do not use cookies to build advertising profiles or to track you across unrelated third-party websites.
3. Cookies and similar technologies we use
The tables below list the cookies and local storage we use across the website and Services. We keep them up to date; a specific deployment may set only a subset, depending on the features in use.
3.1 Cookies
| Name | Provider | Purpose | Type | Duration |
|---|---|---|---|---|
__session | Clerk (clerk.com) | Active session token (keeps you signed in) | Strictly necessary | Session |
__client_uat | Clerk (clerk.com) | Signed-in state and last authentication time | Strictly necessary | 1 year |
__refresh_<id> | Clerk (clerk.com) | Refreshes the session token | Strictly necessary | Session |
These strictly necessary cookies are essential for the Services to function and cannot be switched off; they are set in response to actions you take, such as signing in. Our website frontend is served via Cloudflare; if bot protection is enabled, Cloudflare may set a strictly necessary __cf_bm cookie (around 30 minutes) for bot mitigation, though it is not currently observed being set.
3.2 First-party preferences and application state
To remember your choices and keep the application working as you use it, we store a small amount of first-party data, as a cookie and in your browser's local storage. This data stays on your device, is not used for tracking or advertising, and remains until it expires or you clear your browser storage. It covers:
| Purpose | Type | Duration |
|---|---|---|
| Interface and display preferences (for example sidebar layout and light or dark mode) | Functional | Up to 7 days, or until cleared |
| Cached brand colour and logo | Functional | Until cleared |
| Sign-in helpers (for example new-since-last-login indicators and signing you out across open tabs) | Functional | Until cleared |
| Your active building selection | Functional | Until cleared |
| Timezone display preference | Functional | Until cleared |
| Audit editor interface state | Functional | Until cleared |
3.3 Analytics cookies (consent required)
These help us understand how the Services are used so we can improve them. We do not currently set analytics cookies. If we add a privacy-friendly analytics tool, we will set it only if you consent.
3.4 Advertising and tracking cookies
We do not use advertising or cross-site tracking cookies.
4. Third-party cookies
Some cookies are set by third-party services we use to operate the Services, such as our authentication provider (Clerk) and our network and security provider (Cloudflare). These providers process this data in accordance with their own privacy policies. See our Privacy Policy for the full list of sub-processors.
5. Managing your cookies
- Consent. Where we use any non-essential (functional or analytics) cookies, we will ask for your consent through a cookie banner when you first visit, and you can change your choice at any time.
- Browser controls. You can block or delete cookies through your browser settings, and most browsers let you refuse cookies or alert you when one is set. Blocking strictly necessary cookies will prevent you from signing in and using the Services.
- More information. Guidance on managing cookies is available at aboutcookies.org and from the ICO at ico.org.uk.
6. Changes to this policy
We may update this Cookie Policy from time to time to reflect changes to the cookies we use or for legal reasons. We will post the updated version here with a new "Last updated" date.
